DESCRIPTION


Currently we are looking for a Receptionist/Administrator for our London office to make our team even stronger.

Receptionist/Administrator required by EPAM for a 6 month fixed term (extension likely) for maternity cover. The role will be based in our London - Liverpool Street HQ and will start first week in April 2018.

We’re seeking a smart, bright and engaging Receptionist to provide an excellent front of house service in a fast-paced environment and administrative assistance to support our Office Manager.

Responsibilities

  • Front of House & Event/Catering Support:
    • Meeting & greeting visitors in a friendly and polite manner, providing refreshments;
    • Responsibility for the management of meeting rooms, assist with Conference Call set up, catering setting up ahead of each meeting and ensuring they are clean and tidy afterwards ready for the next;
    • Answering and receiving phone calls and dealing efficiently with external and internal enquiries and escalating messages effectively;
    • Assisting the Office Manager & Executive Assistant with catering requests for event planning and implementation such as hosted meetings, offsite meetings, conferences, and staff parties, may be required to work out of normal working hours.
  • Admin, Health, Safety, Fire & Facilities Support:
    • Supporting the Office Manager with Health, Safety and Fire Officer & First Aider Responsibilities and promoting a safe and pleasant user-friendly (and sustainable) office environment;
    • Typing, photocopying, scanning, filing, preparing docs for signatures, binding and distributing reports, updating asset reports, preparing presentations and filing; attending to admin requests from the WFA Admin Inbox;

    • Checking inventory on regular basis and ordering office supplies (stationary, refreshments, purchases);
    • Responding to internal customer enquiries and complaints;
    • Management of petty cash for the office in a timely manner. Personal Management of own expenses;
    • Assisting the Office Manager & Executive Assistant with ad-hoc facilities requests including and not limited to, Health Safety and Fire Checks, emergency exits, restocking kitchen supplies, supporting the midday housekeeper, corporate apartment admin tasks;
    • Working closely with the building reception with FOB/Key Management by checking new starters and leavers;
    • Administrative requests from the Minsk based finance teams, i.e. credit card management issuing, invoice processing and liaising with payments team.

Requirements

  • Previous front of house receptionist experience;
  • High standard of written and spoken English and a good telephone manner;
  • Excellent time management and organizational skills;
  • Fully proficient in all Microsoft Office programs (including Word, Excel & Outlook); competent user of the internet;
  • Ability to prioritize a busy schedule whilst maintaining excellent attention to detail;
  • Excellent communication and interpersonal skills with the ability to liaise with people at all levels;
  • Resilient, resourceful and punctual;
  • Positive, proactive attitude in identifying issues at the earliest opportunity and in responding to internal and external client queries;
  • Able to share learning or enable process improvement;
  • Discretion when supporting activities and handling sensitive data.
